Under general supervision from the Director of Student Services, the incumbent will provide functional support for the Student Affairs Office and approximately 600 students

Incumbent will be responsible for assigning Teaching Assistants to Nursing courses each quarter. Assist incoming and continuing students in the acquisition of lockers and security (ID) badges. Check that all students have working Sonnet and Gmail accounts. Check the accuracy of the distribution lists populated by David Geffen IT. Make sure that students have access to the Factor Building and student lounges. Utilizing a variety of modalities, maintain contact with alumni and maintain email distribution lists for all graduates of the School of Nursing. Assist the Student Affairs Office in the allocation of on-campus housing slots for incoming students. Assure that all incoming and continuing students have up-to-date emergency contact information, CAE/Nursing technical standards, receipts of the student handbook, etc. Assist the other Student Affairs Officers in the planning and implementation of comprehensive School of Nursing orientations for incoming students to all degree cohorts. Assist the Director of Student Services in the monitoring of degree progress for approximately 50 PhD students. In consultation with the Director of Student Services and individual faculty advisor for the student, will process all manner of student petitions, such a general petition to change course expectations, advancement to candidacy forms, nomination of doctoral committee forms, etc. Provide verifications of education for alumni in a timely manner. Monitor and resolve all inquiries that come in through Message Center, email, at the Student Affairs window, or by telephone. Assist the Director of Student Services and other SAO staff in the migration of all student and alumni records from paper to digital archives. Act as a liaison and facilitator with the Office of the Registrar, Graduate Division, and other departments or offices on campus. Create and initiate correspondence as it relates to student support services or student financial support. Actively participate as a guest of the Student Affairs Committee. Establish and maintain good working relationships with all School of Nursing faculty, staff and administrators; Graduate Division and other personnel on campus that interact with students in the School of Nursing. Represent the School of Nursing at meetings that support the mission of the Student Affairs Office as it relates to student support and advising. Initiate and take responsibility for carrying out special assignments, statistics, surveys, and data aggregation as needed

Assist the other Student Affairs staff in updating various School of Nursing publications, including the General Catalog, School of Nursing website, Graduate Program Guide, Student Handbooks, and course sequences. Utilizing various digital modalities, keep students informed of upcoming events, deadlines, and opportunities. Assist other Student Affairs staff in the advisement of School of Nursing student organizations. Provide support as needed for all other Student Affairs personnel and Student Affairs activities. With other Student Affairs staff, plan and execute celebrations such as commencement, White Coat, and Blue and Gold Ceremonies within the School of Nursing. Provide the necessary student support services for these particular events. Maintain working relationships with vendors and other offices on campus to provide information, support and materials for these events. Collaborate with other Student Affairs staff to create programs, agenda, and invitations for such events

Maintain the tidiness and orderliness of the Student Affairs Office and Student Lounge, contacting the Business Management Office when supplies are needed. Other duties as assigned

Working knowledge of students who need financial aid, housing or who could benefit from fellowships


Demonstrated ability to read and interpret transcripts and detailed documents to determine whether requirements have been fulfilled


Demonstrated ability in creating grammatically correct routine business correspondence, letters to students, factual information sheets, and interoffice memos. Excellent word processing skills to prepare business correspondence with speed and accuracy

Demonstrated ability to prioritize and categorize information that will be placed in students' files so that the files reflect the most accurate and up-to-date information


Demonstrated skills with Microsoft Office software, including Excel, Access, Word, Outlook, or other similar software


Advanced working knowledge of the web and ability to understand, access, and utilize websites, download updated forms, and perform website updates


Demonstrated ability to communicate independently with IT personnel to express needs for specific data and improvements within the post-licensure programs


Demonstrated ability to work independently as it relates to the interpretation and implementation of University and School of Nursing policies and procedures related to student issues


Working knowledge of enrollment requirements for independent study when working with students


Demonstrated ability to communicated effectively and professionally with outside vendors in order to create meaningful student events


Demonstrated ability to utilize a number of technological modalities and to adopt new ones in order to provide effective student service and to manage student records
