Based in Baltimore, MD, Everyman Theatre seeks a collaborative and driven individual to join a team of talented staff, artists, and Board Members in the role of Executive Assistant. The Executive Assistant works closely with the Founding Artistic Director and Managing Director to assist in the management of both the day-to-day operations and the long-range strategic planning for the theatre. The Executive Assistant will be responsible for a broad range of general administrative and coordinator duties. This position will require initiative, detail-oriented organization, independent decision making, guest service skills, critical thinking, and the ability to demonstrate good judgment. The professional in this position must project warmth and enthusiasm toward internal and external visitors and actively champion the Everyman Theatre values of people, community, and excellence.


  • Manage the calendars of both the Founding Artistic Director and Managing Director, to include making appointments, prioritizing the most time-sensitive matters, and organizing meetings both internally and externally
  • Assist in responses to internal and external guests including letters, emails, phone calls, and in-person follow-up
  • Primary Liaison to the Board of Directors
  • Manage all record-keeping for Board of Directors to include meeting minutes, bylaws and resolutions, committee membership, individual member information, and orientation preparation for new members
  • Organize and manage all preparation for Board and Committee Meetings to include packet preparation, presentation preparation, scheduling, and room setup
  • Take meeting minutes in all Board and Committee meetings, Senior Staff meetings, Full Staff meetings, Staff Committee meetings, and upon request of Founding Artistic Director or Managing Director; distribute minutes as needed in a timely manner
  • Welcome visitors to the Leadership Office
  • Become familiar with all department functions at Everyman in order to communicate effectively and accurately
  • Prepare reports and/or special projects, which may include research, data collection, internal and external conversations, and coordination
  • Assist in strategic planning and infrastructure-building projects for the theatre to include systems integration, community partnerships, and developing and managing plans for both internal and external growth
  • Perform minor accounting duties
  • Supports Finance, HR, and Development departments with additional duties and projects as needed
  • Assist in special event planning as necessary
  • Active participant of the Staff C.A.R.E.S Committee (Committee on Anti-Racism, Equity, & Solidarity)
  • Participate in events and committees while providing input and suggestions
  • Answer phone calls and emails in a polite and professional manner and effectively use communication tools to ensure consistent and comprehensive communication both internally and externally

  • Ability to organize and maintain comprehensive and accurate records
  • Ability to maintain discretion and professionally handle sensitive information with full confidentiality
  • Capacity to independently prioritize and exercise ownership, follow-thru, accountability, and initiative with proven ability to meet deadlines
  • Ability to operate in a team environment and perform job duties with little supervision
  • Ability to maintain a positive and flexible working attitude while performing job duties in stressfulsituations or when handling complex communication
  • Ability to exercise critical thinking and incorporate creative approaches to a variety of projects
  • Proficient in the Microsoft and Google Suites to include Microsoft Excel, Microsoft Word, Microsoft Powerpoint, Google Sheets, Google Docs, and Google Forms.
  • Experience with Patron Manager or other Customer Relationship Management Software a plus, but not required
  • Experience with data tracking and reporting is a plus
  • Experience in theatre or the entertainment industry a plus
  • Ability to work occasional evenings and weekends

The Executive Assistant is a full-time position with a salary of $39,000 to $41,000. The position includes full benefits including 100% medical, dental, and vision insurance coverage as well as life insurance and paid time off to include vacation, holiday, sick, and personal days.
