Under general supervision, operates multiple position automated telephone switchboard to relay incoming, outgoing and interoffice calls. Processes the registration of patients and scheduling of clinical appointments over the telephone. Performs other communications and clerical tasks as assigned


High school diploma or GED equivalent with one-year office or clerical experience; or, an equivalent combination of education and experience. Previous switchboard or patient scheduling experience preferred. Experience with the IDX system and knowledge of medical terminology preferred




  • Processes registration information in the system for new patients, including obtaining new medical record numbers and verifying insurance information when necessary. Reviews and updates current registration information for established patients
  • Schedules clinical appointments for new and returning patients for a variety of providers using independent judgment and discretion as to priority while following clinic policies
  • Confirms that patient is assigned to a specific clinic/physician as designated by their managed care plan
  • Follows established clinic protocol to triage calls to appropriate clinical staff. Generates written message and request medical record chart to be delivered to designated staff for feedback to caller/patient
  • Contacts patients to cancel and reschedule appointments when clinic schedules have been altered
  • Maintains current reference list of providers, patients, managed care plans, etc. as designated by supervisor
  • Performs the functions of Medical Receptionist II as requested by supervisor
  • Performs other related duties incidental to the work described herein


  • Excellent interpersonal/communication skills
  • Data entry accuracy of 5000 kph with 3% or less error rate
  • Basic computer skills
