Summary


Serve as procurement/barcode team member in the Unit for Laboratory Animal Medicine reporting to the ULAM Director of Business Operations and ULAM Faculty Leadership.

Responsibilities*


Procurement Activities – 50%



  • Manages procurement activities for a large complex medical school department that provides procurement support for very diverse requests through the ULAM Department (large and small purchases)
  • Obtains requests and makes appropriate and timely purchases for goods and services for the ULAM Department that affects approximately 100 people
  • Confirms all orders with vendors and/or labs for accuracy prior to putting out delivery schedules
  • Uses appropriate knowledge to make required purchase changes
  • Develops, communicates and distributes delivery schedules
  • Maintains updated vendor price list and contact information
  • Receives and manages all incoming emails from the dock area for ULAM deliveries
  • Ensures proper procurement practices through consultation with faculty and staff
  • Demonstrates the ability to compare and evaluate procurement purchases that ensure fiscal responsibility through cost analysis, vendor selection and procurement team recommendation for best overall solutions
  • Demonstrates the ability to work independently within the scope of assigned responsibilities that affect business operations to a substantial degree
  • Manages procurement accounts and payable transactions effectively and in a timely manner. Works with accounts payable to ensure all bills are accurate and paid properly

Barcode Activities – 50%


eRAM database reporting, updates and maintenance –



  • Maintains appropriate census records for animal inventories
  • Creates barcode stickers by request to document census activities
  • Processes transfers in eRAM and protocols in the field
  • Investigates housing/husbandry care days and resolves discrepancies in dates, animal numbers room numbers, per diems in eRAM and in the field
  • Activates and deactivates barcode stickers in eRAM
  • Creates Quick Cards for non-breeding cages when an active care card is needed and no breeding sheets are available
  • Creates, distributes, and activates breeding sheets. Places appropriate breeding sheet in binders in each animal room
  • Follows appropriate guidelines for breeding colony cages and biohazard transfers
  • Reconciles data gathered with information existing in eRAM
  • Provides cage scanning in assigned areas
  • Cross checks animal deliveries for Animal Procurement team
  • Files and digitizes barcode documentation records
  • Acts as a reference for facilities questions (room numbers, per-diem rates, species housing, etc.)
  • Appropriately implements Holding Policy/Protocol for expired protocols. Communicates changes to PI and husbandry staff
  • Applies appropriate skill level to this position within assigned functional areas
  • May adapt procedures, processes and techniques to meet requirements of the position
  • Performs other duties as assigned by the ULAM Leadership Team
  • Works under minimal supervision
  • Demonstrate good problems solving skills associate with job performance
  • Makes recommendations for adapting procedures, processes and techniques to meet requirements of this position

Required Qualifications*



  • 2 or more years of experience in position.
  • Bachelor's Degree or equivalent years of experience
  • Under FLSA, incumbents in this position are nonexempt
  • Demonstrated ability to work collaboratively as a member of a team

Background Screening
